Document your work with photos, videos, and files. Media attachments provide valuable evidence of condition, work performed, and serve as references for future service.
Why Attach Media?
Attaching media to work orders helps with:
- Before/After Documentation - Show the customer what you fixed
- Proof of Work - Document completed repairs and installations
- Condition Records - Note existing damage or wear
- Part Numbers - Photograph part labels for easy reordering
- Customer Communication - Share photos with customers to explain issues
- Training - Build a library of reference images for your team
Supported File Types
ShopTrack supports various media types:
Images
JPG, PNG, GIF, WEBP
Up to 25MB each
Videos
MP4, MOV, AVI
Up to 100MB each
Documents
PDF, DOC, DOCX, XLS
Up to 25MB each
Uploading Media
To upload media to a work order:
- Open the work order
- Click the Media tab
- Click + Upload Media
- Select files from your device or drag and drop
- Add optional descriptions
- Click Upload

Uploading from Mobile
When using ShopTrack on a mobile device, you can take photos directly:
- Tap + Upload Media
- Choose Take Photo or Record Video
- Capture your media
- Review and upload

Organizing Media
Adding Descriptions
Add descriptions to media files to explain what they show. This is especially helpful for:
- Identifying which component is shown
- Noting whether it's a before or after photo
- Explaining what issue is documented

Categorizing Media
Tag media with categories for easier organization:
- Before - Condition before work began
- After - Completed work
- Damage - Pre-existing or discovered damage
- Part - Part numbers, labels, or components
- Inspection - Survey or diagnostic findings
Viewing Media
Media files are displayed in a gallery view:

Click any image to view it full-size. Use the arrows to navigate between images in lightbox mode.
Downloading and Sharing
To download or share media:
- Download Single File - Click the download button on any media item
- Download All - Download all work order media as a ZIP file
- Share Link - Generate a shareable link for customer access
Deleting Media
To remove media from a work order:
- Find the media file in the gallery
- Click the Delete button
- Confirm the deletion
Caution
Deleted media cannot be recovered. Consider carefully before removing photos that document work performed or customer property condition.
Media Gallery
Access all uploaded media across all work orders from the Gallery section in the main navigation. This provides a searchable, filterable view of all media.

Best Practice: Documentation Protocol
Establish a documentation protocol for your team. For example: Always take a "before" photo when work starts, photograph any pre-existing damage, capture part numbers before installation, and take an "after" photo when complete.
